• Scheduling information — the appointment times you request or confirm.
• The content of your messages — what you choose to tell us in a call, text, email, or form. Please do not include detailed health information in these channels (see *Confidentiality and Security* below).

Information collected automatically

• Basic website analytics — pages visited, approximate region, device and browser type, and referring site. We use Vercel Web Analytics, which is privacy-focused and does not use cookies to track you across other websites.
• Standard server logs — including IP address, kept for security and troubleshooting.

We do not sell your personal information, and we do not use your information to serve you targeted advertising.

03SMS Text Messaging

Rooted Healing Therapy offers text messaging for scheduling and appointment-related communication. Participation is entirely optional.

How you opt in

• By providing your mobile number and agreeing to receive text messages when you call us, book online, or submit a form on this website
• By texting us first at our business number

Consent to receive text messages is not a condition of receiving therapy services or of any purchase. You can decline SMS and still book by phone or email.

What we send

Appointment booking links, appointment confirmations and reminders, scheduling changes, and replies to questions you have sent us. We do not send marketing or promotional text messages.

Message frequency varies. Message and data rates may apply. Reply STOP at any time to unsubscribe, or HELP for assistance. You may also call us at (940) 217-5834 or email info@rootedhealing.co.

Standard message and data rates from your mobile carrier may apply to any message you send or receive. Carriers are not liable for delayed or undelivered messages.

04Phone Calls and Our Automated Assistant

When you call our business line, your call may be answered by an automated (AI-powered) virtual assistant that can answer common questions, take your contact details, and send you a booking link by text.

Calls may be recorded or transcribed for scheduling accuracy and quality purposes. If you would prefer not to speak with the automated assistant or not to be recorded, you can email us at info@rootedhealing.co instead and a person will respond.

05How We Share Information

We do not sell, rent, or trade your personal information. We share it only in these limited circumstances:

• Service providers — vendors that operate our scheduling, messaging, client portal, payment processing, and website hosting under contract, and only to the extent needed to deliver the service. They are not permitted to use your information for their own purposes.
• With your written authorization — for example, if you ask us to coordinate with another provider.
• When required by law — including mandatory reporting duties, valid court orders, and situations involving an imminent risk of serious harm, as required of licensed clinicians in Texas.

06Confidentiality and Security

We use reasonable administrative, technical, and physical safeguards to protect your information. Clinical documentation is handled in a secure, HIPAA-compliant client portal.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

07Data Retention

We keep contact and scheduling information for as long as needed to provide services and to meet our legal and professional recordkeeping obligations. Clinical records are retained for the period required by Texas law and applicable licensing board rules. Website analytics data is retained in aggregate form only.

08Your Choices and Rights

• Opt out of texts at any time by replying STOP.
• Opt out of email by replying to any message and asking us to stop.
• Access, correct, or delete the personal information we hold about you, subject to the recordkeeping obligations that apply to licensed clinicians.
• Request your health records in writing, as described on our FAQ page.

Texas residents have additional rights under the Texas Data Privacy and Security Act, including the right to confirm whether we process your personal data, to obtain a copy of it, to correct inaccuracies, to request deletion, and to appeal a decision we make about such a request. 09Children's Privacy

Rooted Healing Therapy provides services to individuals aged 16 and over. This website is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child under 13 has provided us information, contact us and we will delete it.

10Third-Party Links

Our website links to third-party sites such as our online scheduler, Psychology Today, and Instagram. We are not responsible for the privacy practices of those sites, and we encourage you to read their privacy policies.

11Changes to This Policy

We may update this Privacy Policy from time to time. The revised version will be posted on this page with a new “Last updated” date. Material changes affecting how we use your information will be communicated to active clients directly.
